1. About this policy

1.1 This policy explains how Absolute Engineering Solutions Pty Ltd ("AES", "we", "us") collects, uses, stores and discloses personal information. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

2.1 When you use the instant quote app or deal with us, we collect: your name, company name, email address and phone number; PO numbers or order references, delivery and invoicing details; the quotes and orders you make and the options you choose; and the CAD files and drawings you upload.

2.2 We also record technical information needed to run and secure the app: your IP address, the time you accepted our terms and declarations, and basic server logs.

2.3 We do not collect payment card details through the app. We do not ask for sensitive information (such as health information), and you should not include it in files or notes.

3. Why we collect it

3.1 We use personal information to: prepare quotes and review them; process, make and deliver orders; invoice you and manage your account; contact you about your quotes and jobs; prevent fraud and misuse of the app; meet our legal obligations; and improve our pricing (using quote records that do not include your design files).

3.2 We do not sell your personal information, and we do not use it for third-party advertising.

4. Cookies

4.1 The app uses a single session cookie (aes_session) to keep you signed in. It is strictly necessary, httpOnly and secure. We do not use advertising or analytics tracking cookies.

5. Who we share it with

5.1 We share personal information only with service providers who help us run our business, and only for the purposes above:

Vercel (app hosting), Neon (database) and Vercel Blob (encrypted file storage), with data hosted in the Sydney, Australia region;

Resend (sending emails such as sign-in links and quote notifications), which may process email data outside Australia;

our accounting and production systems (such as Xero and Shop Pilot) to invoice and make your job; and

our approved subcontractors (for example for finishing), only where needed to complete your job, who must keep it confidential.

5.2 We may also disclose information where the law requires or allows it.

6. Storage, security and retention

6.1 Personal information and files are stored in encrypted cloud storage with restricted access. The app uses secure connections (HTTPS), signed sessions, single-use sign-in links, rate limits and access checks on every quote, order and file.

6.2 Uploaded CAD files are deleted once your job enters AES's production system. Files for quotes that are never ordered are deleted automatically 90 days after upload. Quote and order records are kept for our business, tax and pricing records.

7. Access and correction

7.1 You can ask to see the personal information we hold about you, or ask us to correct it, by emailing sales@aesaus.com. We will respond within a reasonable time (usually 30 days). You can also ask us to delete your files at any time.

8. Complaints

8.1 If you have a privacy concern or complaint, please contact us first at sales@aesaus.com or 0426 233 237. We will look into it and respond within 30 days.

8.2 If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.

9. Changes

9.1 We may update this policy from time to time. The current version is always available at quote.aesaus.com/privacy.
